FAQ
Protna for company owners, accounting practices, and legal advisors.
Security, documents, payroll & tax workflows, approvals, and reporting — in plain language.
Where are our files stored? Is data kept in Europe?
Yes. Protna is designed so company documents and uploads live in secure European data centres, encrypted end-to-end, with backups aligned to EU expectations. Only people you invite inside your workspace can access them.
Who can upload files in the workspace?
The owner controls membership. Owners and invited team members (for example accountants, lawyers, or staff) can upload to folders they are permitted to use — similar to a private company file-sharing space.
Can accountants and lawyers request e-signatures?
Yes. Authorised accountants and legal users can upload agreements or tax packs and send signature requests. The owner can track status without chasing email threads.
How do salaries and payment data work?
Structured fields hold salary lines, transfers, and related payment records so finance and your accounting office work from one controlled dataset instead of scattered spreadsheets.
Can we customise tax folders and labels?
Yes. You can organise VAT, CIT, and custom tax areas with labels and templates your accounting firm defines, so filings and source documents stay grouped and easy to audit.
Can accountants record monthly savings for the owner?
Yes. Accountants can log monthly savings outcomes (for example from tax optimisation or cost reductions) so founders see impact over time in simple summaries.
How do expense and salary submissions reach the owner?
Accountants complete a structured form for salaries or other expenses and submit it to the owner for review — reducing lost attachments and keeping context in one place.
How does owner approval work? Can we attach a paid invoice?
Owners approve or reject incoming items, add comments, and attach the paid invoice or proof of payment in the same thread so the audit trail stays complete.
Can we give a lawyer access only to certain files?
Yes. Owners grant granular access — for example read-only or upload to selected folders — without exposing payroll or unrelated client material.
What kind of reports do we get?
Simple, export-friendly views: cashflow, tax deadlines, expense pipelines, signature status, and activity — readable for owners without heavy spreadsheet work.
